The Campaign
IBM, in collaboration with the Australian Information Industry Association (AIIA), hosted a lunch event and live panel discussion in celebration of International Women’s Day. Our media company was engaged to capture the event’s essence, including the discussions, key moments, and stakeholder interviews.
The Challenge
- 1: Comprehensive Coverage: The project required capturing both the live panel discussion and the luncheon, which demanded coordination to ensure coverage of all key aspects without disrupting the event flow.
- 2: High-Quality Visuals and Audio: With a focus on delivering professional-quality content, it was essential to manage various technical elements, including multiple camera setups and audio equipment, to capture clear and engaging footage.
- 3: Timely Delivery: The deliverables, including a 90-second wrap-up video and a 45-second cutdown, had tight deadlines to ensure the content could be promptly shared with stakeholders and the public.
The Solution
- 1: Detailed Planning: We developed a detailed plan for capturing both the luncheon and panel discussion. This included scheduling, identifying key moments to film, and coordinating with the event organizers to ensure minimal disruption.
- 2: Technical Preparation: Our team used two camera bodies with a range of lenses and a backup camera body to ensure versatility and reliability. We also utilized a selection of microphones and basic lighting equipment to enhance video and audio quality.
- 3: Efficient Workflow: We implemented an organized production workflow to manage the various elements of the event coverage efficiently. This included capturing b-roll, panel discussion clips, and interviews, followed by a quick turnaround in post-production to meet the delivery deadlines.

- Equipment Setup: We organized two camera bodies with various lenses, a backup camera, and an assortment of microphones. Basic lighting equipment was set up to enhance the video quality in different event areas.
On-Site Production
- Event Coverage: Our team captured comprehensive footage of the luncheon, panel discussion, and audience interactions. We focused on obtaining b-roll footage, key discussion clips, and engaging interview segments with stakeholders.
- Interviews: We conducted interviews with selected key stakeholders, capturing their insights and reactions to the event, which would be used to complement the panel discussion and luncheon coverage.
Post-Production
- Editing: We edited the footage into a 90-second post-event wrap-up video and a 45-second cutdown. The editing process involved selecting the most impactful moments, integrating b-roll and interview clips, and ensuring a polished final product.
- Delivery: We delivered all raw footage on SD card and USB as backup, along with the final edited videos within the agreed-upon timeframe.
